Each payout comes with two PDF documents. The payout statement shows what the payout paid and what it cost. The self-billed invoice is the invoice for the products you supplied to AgentaOS, which AgentaOS issues in your name. Give both to your accountant.

Find your documents

  1. In the dashboard sidebar, click Balances.
  2. Click the Payouts tab.
  3. Scroll to Payout runs. Each row is one payout, with its date, its status (Paid, In progress or Failed), its amount, its Fees, and what was sent.
  4. Click Statement to download the payout statement. Click Self-bill to download the self-billed invoice.
Each document gets its number the first time you download it. Until then, the row shows Not yet issued. Payout statement numbers start with PS- and self-billed invoice numbers start with SBI-.

The payout statement

The statement opens with the payout date, the date it was paid, and the Bank reference: the text that appears on your bank statement for this payout. For a stablecoin payout, it shows Paid to with the network and the end of the wallet address instead. Three figures follow:
  • Sales included (net): what your sales added to this payout. A payout of released reserve shows Reserve released. For a platform, a payout of fees from the businesses you manage shows Platform fees collected.
  • Payout: the amount taken from your balance.
  • Sent to your bank: what the payout sent after fees. A stablecoin payout says Sent to your wallet. A payout still on its way says You receive (est.).

Lines

One line for each sale that the payout covers, with the columns Date, Description, Gross, Fee, Net and Paid out. The description is the sale’s receipt reference and the product. Fee is our commission on that sale. Some lines are not sales:
  • Reserve release: money held back on earlier sales, now paid out.
  • Platform fee from a business you manage: your share of that business’s sale.
  • Retained for a platform: the share of this sale that went to the platform that manages your business, under the share that platform set.
These two lines appear only when a platform is involved. A business that no platform manages never sees them.

Totals

  • Returned · Refunded sale or Returned · Charged back sale: part of the payout paid back money owed on an earlier sale that was refunded or charged back. Each line names the sale. When there are returned lines, Lines total shows the sum of the sale lines above them.
  • Payout fee: our fee on the payout. See Payouts.
  • Bank transfer fee: the cost of the bank transfer, passed through at cost. It shows Pending until the transfer cost is known. A stablecoin payout shows Wallet corridor fee instead.
  • Sent to your bank: the amount after both fees. A stablecoin payout also shows Delivered: the amount in USDC or EURC.
Notes at the end explain anything unusual, for example a transfer that came back. When a payout does not go through, the statement says so and the money goes back to your balance to be paid out again.

The self-billed invoice

AgentaOS is the merchant of record: it buys your product and resells it to your buyer. The self-billed invoice documents your side of that: your sale of the products to AgentaOS. AgentaOS issues it in your name, so you do not have to write an invoice for every payout. The invoice states what the money is:
“Consideration for the Products resold by Aristokrates OÜ as merchant of record under the Master Services Terms. The supplier retains all intellectual property; no copyright is transferred.”
Aristokrates OÜ is the company that operates AgentaOS. It is the legal seller on every sale, so its name is on the invoice. The payout is the purchase price of the products that AgentaOS resold. The invoice never calls it a royalty or a licence fee. The invoice shows:
  • Supplier (you): your legal name, your address, and your VAT number if you have one.
  • Buyer: the AgentaOS legal entity, with its registration number and VAT number.
  • One line per sale that the payout covers, at the amount the payout paid for it. Released reserve shows as Reserve release.
  • Subtotal, then the deductions:
    • Payout and transfer fees: the payout fee and the bank transfer fee as one figure. A stablecoin payout shows Payout fee and Wallet corridor fee as two lines.
    • Platform share retained for a platform, when a platform manages your business.
  • Total: what reached your account.
The invoice is “accepted unless you notify us of a good-faith objection within five business days”. A payout gets no self-billed invoice when it contains none of your own sales:
  • A payout that is only platform fees from businesses you manage.
  • A payout that did not reach you.
  • A payout that paid nothing out.
For a platform, the Platform fees collected section of the payout statement is the record of your fee income. Platform fees ride in the same payout as your own sales, one payout per currency, and the 1% payout fee applies to the whole payout, fees included. See Platform fees.

Use them in your books

  • Match each payout on your bank statement to its payout statement with the Bank reference.
  • Record the self-billed invoice as your invoice to AgentaOS for the payout. Its total is the amount that reached your account.
  • Use the payout statement for the detail behind the total: each sale, our commission, the fees, and anything returned.
AgentaOS charges and pays the VAT on the sales to your buyers; that VAT is never yours. The self-billed invoice carries no VAT line: it records the value of your supply to AgentaOS (Aristokrates OÜ, Estonia), a company in Estonia. Your accountant books it as a sale to a customer in Estonia under your own country’s rules.
